Stand Alone Owner & Vendor 1099s Processing:

Stand Alone Owner & Vendor 1099s includes:

  • Month End Processing: we will create the owner, vendor statements on your behalf.
  • We will review, correct and reissue owner statements/vendor 1099s that were previously incorrect.

*This service is perfect for those who have an accounting team in place but need additional assistance. 

*The deadline for 1099s to be mailed out is January 31st. Last minute requests will charged a rush fee.

Stand Alone Strategic Marketing:

Stand Alone Strategic Marketing  includes:

  • White-glove marketing service and production of print, event and digital marketing materials
  • Digital marketing: email blasts/templates, website templates, online banner ads and social media assets
  •  Print marketing: ads, property brochures, property feature sheets, listing presentations, just listed/sold postcards, listing presentations, signage, brochures
  • Video Marketing: property brochures, 3D floor plans, virtual tours and property signage

*We strive to ensure accuracy of all proofs and submissions, including copyediting and proofreading. Along with the timely delivery of all marketing materials.

Audit Preparation:

Our bookkeeping services already include audit preparation. This is a stand alone service, is for those who need audit related assistance.

  • We work directly with you and  your staff in cleaning up your books.
  • Booking all the necessary adjustments at year end.
  • Preparing bank reconciliations and supporting documents that might be inquired by the auditor such as schedule of fixed assets, AR Aging Summary Reports, AP Aging Summary Reports,  and Payroll Reconciliation.
  • Preparing auditor’s “Prepared By Client” (PBC) list before the start of the audit.
  • Drafting and providing client prepared financial statements to the auditors.
  • Interpreting and implementing  the auditor’s recommendations at the end of the audit.
  • We are available to support you either on-site/via phone or via video call during the audits.

*On-site support is suspended due to COVID-19 virus. All audit support will be via the phone or video call.

Full Cycle HR:

Our full cycle HR includes recruiting, hiring, onboarding, payroll, time tracking, benefits, and workforce time management, off boarding.

  • Recruiting:

We’ll help you screen candidates at the beginning of the recruitment cycle by completing phone screens and being the main point of contact for applicants.

We’ll help you create ideas on building creative sourcing strategies, innovative recruitment solutions, and consistently producing a quality pipeline of potential candidates for open positions across your team.

We’ll provide you with reports and performance metrics, illustrating information regarding market conditions, and bring new and innovative ideas forward to improve the way you hire.

 

Hiring & Onboarding New Employees:

We will create offer letters customized for every new employee. We will send you new employees a copy of the employee handbook, policies of your choosing. All offers/contracts are sent digitally and stored securely in Canada. All documents are signed digitally and can be accessed at anytime.

All new employees will be have a background check performed before the offer is sent.

 

Payroll Setup & Automation:

Current employee information will be uploaded to our system. New employees will be sent a secure link online during onboarding. They are required to fill out their info online, including contact information, bank account details. We will use this information to automate payroll, tax and fillings. 

 
 
 
 
 
 

Reporting & Taxes:

All local, state, and federal payroll taxes are calculated, filed, and paid automatically. Employee benefits can be deducted pre and post tax deductions.

We’ll automatically report new hires to the government on your behalf.

We issue and file your T4s, T4As, W-2s and 1099s, and send them to your employees and contractors.

We will issue payments to your employees via direct deposit. Every employee is sent a digital paystub with each payroll cycle.

 
 

Payroll Reporting:

We will generate reports for payroll history, employee and contractor payments, paid time off, tax payments, and more. You will receive a packet of reports each month.

 

Time Management:

We will create a user profile in Harvest for each of your employees. 

Your employees can track, edit and add their hours to different projects so you know where time is being spent.

Tracked team hours are all instantly accessible in manager accounts. We will review all the entries and send them off to you to for final approval before paying them out. Approved hours are locked and cannot be edited afterwards.

 
 

Employee Benefits:

 
We will research employee benefits plans and vendors to identify those that present the best value to you.

Design, recommend and implement new benefits programs. Examine possible plan designs and benefits cost changes.

Negotiate with vendors and administrators for the best plans, options and rates.

We will serve as primary contact for plan vendors and third-party administrators. And coordinate the transfer of data to external contacts for services, premiums and plan administration.

We will oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.

Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.

Allocate group health and dental claims monthly and review quarterly.

Analyze current benefits, evaluating the use, services, coverage, effectiveness, cost, plan experience and competitive trends in benefits programs, and identify your company’s stance.

Perform plan audits. Prepare, collect and organize data for actuarial assessments.

We will ensure compliance with applicable government regulations, timeliness and accuracy of required reporting and fees.

 

Offboarding Employees:

We will conduct exit interviews to optimize your understanding of the company’s strengths, weaknesses, areas for improvement, and from an employee’s perspective.

All responses will remain anonymous so that employees feel comfortable sharing their honest opinions. Exit interviews will not be conducted if the employee was terminated with cause.

Maintenance Assistance

Stand Alone Maintenance Assistance includes:

  • Work Order Processing and Maintenance Management: 

We will distribute work orders to superintendents, receiving and updating work orders on a daily basis.

Schedule and follow up of contractor work (plaster, painting, flooring, etc)

  • Vacancy Management: 

We will process Notices to Vacate, Acknowledgement to tenants, scheduling inspections, creating work orders for unit preparation by superintendents and contractors.

 

Project Based Consulting

Project Based Consulting includes:

  • We will provide accurate and timely accounting, reporting and project information for assigned projects.
  • We will set up and maintain projects on an in-house accounting system according to contract terms.
  • We will collect, reconcile all project-related subcontractor payments, general expenditures, internal hourly payroll costing allocations and all other financial transactions.
  • Assemble client billing packages in accordance with contract procedures and processes to ensure your client is in receipt of billings on a timely basis and payments are received as per contract terms and conditions.
  • Maintain accurate and timely cash flow data, both current and forecasted as compared to projected cash flow assumed in financial model (as applicable to the project).
